1. Onboarding & Third-Party API Outage Indemnity
Mandatory Requirement
Access is strictly limited to Australian businesses with an Active ABN. Automated real-time verification occurs via the Australian Business Register (ABR) API before the Free Trial activates.
Contractual Protection
The ABR lookup service is an external government infrastructure system provided on an "as-is" basis. The Platform Provider assumes no liability, and disclaims all operational responsibility, for onboarding delays, application freezes, or an inability to activate a Free Trial resulting from external government API downtime, maintenance windows, or connectivity disruptions.
2. Subscription Terms & Pre-Expiry Notice Protocol
Annual Subscription
Upfront, single premium payment in advance. Reflects a locked promotional discount for a fixed 12-month term. Entirely non-refundable upon early termination or mid-term abandonment.
Monthly Subscription
Standard recurring fee automatically deducted from the credit card via Stripe every 30 days with zero discount.
Grandfathering Rule
Public price changes TBA scheduled for Midnight September 30th 2026 apply to new subscriptions only. Existing monthly and annual users maintain their exact historical rates and features until their current contracted term finishes. Monthly users may cancel or opt out of automatic renewal via the self-service Stripe portal at least twenty-four (24) hours prior to the end of the current billing month.
The "I Forgot" Shield
To prevent unintentional access disruptions or forgotten renewal deadlines, the platform will automatically issue an electronic Notice of Subscription Period Ending thirty (30) days prior to the expiration of an annual term. This notice will be dispatched directly to the Nominated Administrator's registered email address.
3. Expiration, System Lockout, and Hard Day-8 Deletion Boundary
Locked Phase
If a subscription is cancelled or a Stripe payment fails, the account instantly enters a locked Read-Only / Export-Only Phase lasting precisely seven (7) calendar days (168 hours). Pre-authorised employees are blocked from creating new business transaction records.
The Purge Boundary
Upon the expiration of the seventh (7th) day post-subscription termination, all access to the account is permanently rescinded. The file becomes completely inaccessible, and the system initiates automated protocols to permanently purge and overwrite the subscriber's databases within the AWS Sydney infrastructure. The Platform Provider is completely absolved of any corporate or financial liability for unrecoverable data loss, accounting disruption, or regulatory penalties incurred by the Subscriber due to a failure to retrieve records or renew the subscription within this defined 7-day timeframe.
4. Data Portability & Third-Party Export Indemnity
The System Split
The application is for business TRANSACTION RECORDS, creating a validation and high-standard audit trail. External accounting/invoicing software reflects these records in summary FINANCIAL LINE SUMMARIES.
The Indemnity Clause
The Subscriber's Administrator maintains complete, autonomous control over how compiled data is extracted via the Billable Activity Report (BAR). At the Administrator's sole discretion, these business records may be exported via localised file formats (such as CSV) or generated as portable documents (such as PDF) to be transferred into accounting systems, standalone invoicing applications, or delivered manually as work orders. The Platform Provider possesses no system visibility, administrative awareness, operational logs, or technical oversight regarding these transfers. The Subscribing Business assumes 100% sole and absolute legal responsibility under Australian law for the security, data privacy compliance, regulatory handling, and downstream storage of all exported files.
5. Subscription Periods, Reminders, and Billing Mechanics
Billing Models and Stripe Processing
The OpsJotter website provides information and perspective to inform our interested reviewers enough to consider experiencing the 14 day free trial. OpsBase Systems offers a stress free experience as it is hoped that fundamental value will guide new potential subscribers to sign up.
Upon successful completion of the pre-subscription Free Trial, the Subscriber's Administrator may transition to a paid account via the self-service Stripe billing portal by selecting one of two payment paths:
(a) Annual Subscription: Requires a single, upfront premium payment in advance. This rate reflects a locked promotional discount and secures the Basic Version feature set for a fixed twelve (12) month term. This upfront fee is entirely non-refundable upon early termination or mid-term abandonment by the Subscriber.
(b) Monthly Subscription: Incurs a standard recurring fee automatically deducted from the Subscriber's authorised credit card via Stripe every thirty (30) days with zero built-in discount.
6. The Pre-Expiry Notice Protocol (Annual Subscriptions Only)
To prevent unintentional access disruptions or forgotten renewal deadlines, the platform will automatically issue an electronic Notice of Subscription Period Ending thirty (30) days prior to the expiration of an Annual Subscription only. This notice will be dispatched directly to the Nominated Administrator's registered email address detailing the upcoming renewal date, annual billing amounts, and self-service options.
7. Automated Renewal and Opt-Out (Monthly Subscriptions)
Monthly Subscriptions do not receive a 30-day advance notification. Instead, Monthly Subscriptions operate on a continuous, automated rollover basis and continue until a Subscription Cancellation request is received. Stripe will automatically process the recurring monthly deduction from the authorised credit card at the scheduled renewal date. To prevent automated renewal, the Administrator must submit a cancellation request through the self-service Stripe portal at least twenty-four (24) hours prior to the end of the current billing month. This buffer period allows time to resolve any potential processing issues before the next billing cycle begins.
8. Self-Service Capacity Scaling
The Administrator retains full autonomy to expand or reduce user blocks at any time. All such seat modifications must be initiated and executed directly by the Administrator through the integrated Stripe management interface. Pushed block modifications follow the automated deferred billing rules outlined previously.
